Privacy Policy
Last updated: 25 September 2026
This Privacy Policy explains how Outvero ("Outvero", "we", "us", "our") collects, uses and protects personal data. It covers people who visit outvero.co.uk, people who book a call with us, our clients, and the business contacts we reach out to as part of our outbound work.
Outvero is the trading name of Outvero Ltd, a company based in Leeds, United Kingdom. We are registered with the Information Commissioner's Office (ICO) under reference C2042658. For the purposes of UK data protection law (the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations), we are the controller of the personal data described in this policy unless we say otherwise below.
If you have any questions, or want to exercise your rights, email tom@outvero.co.uk.
1. Who this policy applies to
Website visitors: anyone who browses outvero.co.uk.
People who book a call: anyone who schedules a meeting with us through our booking page.
Clients: businesses we work with, and the people at those businesses we deal with.
Business prospects: people at businesses we contact by email, LinkedIn or phone, either to promote Outvero or on behalf of a client.
2. The personal data we collect
Website visitors
Basic technical information such as your browser type, device, pages viewed and approximate location, collected through our website host's analytics. We do not use this to identify you personally.
People who book a call
Your name, email address, phone number, company name and any answers you give in the booking form, plus the date and time of the meeting.
Clients
Names, job titles, business contact details, billing details, and the information you share with us so we can run your campaigns (such as your ideal client profile and messaging).
Business prospects
Your name, job title, employer, business email address, business phone number, LinkedIn profile URL, company details (such as industry, size and location) and notes about any replies or conversations. We only collect information that relates to your professional role.
3. Where we get personal data from
Directly from you, for example when you book a call, reply to us or become a client.
From publicly available professional sources, such as company websites, LinkedIn and Companies House.
From reputable B2B data providers that supply business contact information and confirm it has been collected lawfully.
From our clients, where they share target account or contact lists with us.
4. How and why we use personal data
To respond to enquiries and hold booked calls. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interests in running our business.
To deliver our services to clients. Lawful basis: performance of a contract.
To contact business prospects about services that may be relevant to their role. Lawful basis: legitimate interests. We have carried out a Legitimate Interests Assessment to check that this outreach is proportionate and that it respects your rights.
To keep our website running securely and understand how it is used. Lawful basis: legitimate interests.
To keep business, tax and accounting records. Lawful basis: legal obligation.
5. Our approach to outbound outreach
We only contact people in a business capacity, about matters relevant to their professional role. Every email we send clearly identifies who it is from and includes a simple way to opt out. We do not send marketing emails to sole traders or partnerships unless we have their consent or the law otherwise allows it, and we screen phone numbers against the Telephone Preference Service (TPS) and Corporate Telephone Preference Service (CTPS) before making marketing calls.
If you ask us to stop contacting you, we will do so promptly and add your details to a suppression list, so you are not contacted again by us or on behalf of any of our clients.
6. When we act on behalf of clients
When we run outreach campaigns for a client, the client normally decides who is contacted and why. In that situation the client is the controller, and we act as their processor under a written agreement. If you are contacted as part of a client campaign, the email will say who the client is, and you can contact them or us to exercise your rights.
7. Who we share personal data with
We do not sell personal data. We share it only with trusted service providers who help us run the business, such as:
website hosting and analytics (Framer);
scheduling (Calendly);
email, calendar and document tools (for example, Google Workspace or Microsoft 365);
email sending, deliverability and CRM tools;
B2B data and email verification providers;
our accountants and professional advisers.
With clients, we share the details of prospects who show interest so the client can follow up. We may also disclose information where required by law.
8. International transfers
Some of our service providers store data outside the UK, for example in the United States or the European Economic Area. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.
9. How long we keep personal data
Prospect data: up to 12 months from our last contact if there is no engagement, then deleted or anonymised. Opt-out requests are kept on a suppression list for as long as needed to honour them.
Booked call and enquiry data: up to 24 months after our last contact.
Client and financial records: for the length of the relationship and then up to 6 years, as required for tax and accounting purposes.
10. Your rights
Under UK data protection law you have the right to:
access the personal data we hold about you;
have inaccurate data corrected;
have your data deleted;
restrict how we use your data;
object to our use of your data, including an absolute right to object to direct marketing;
data portability, where applicable;
withdraw consent at any time, where we rely on consent.
To exercise any of these rights, email tom@outvero.co.uk. We will respond within one month.
11. Cookies
Our website uses only the cookies and similar technologies needed for it to work, plus privacy-friendly analytics from our website host. Our booking page embeds a Calendly calendar, which may set its own cookies when you use it. You can control cookies through your browser settings.
12. Security
We use appropriate technical and organisational measures to protect personal data, including secure, access-controlled accounts, two-factor authentication and reputable service providers.
13. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
14. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
